KYATA Symposium policies 2026

Cancellations, Transfers, and Refunds

BEFORE APRIL 29, 2026: 
Registrations may receive a full refund, minus a $35 processing fee, for cancellation for any reason prior to Wednesday, April 29, 2026. Registrants must email [email protected] with details.
No refunds will be given for requests made on or after Wednesday, April 29, 2026.

APRIL 29 THROUGH MAY 21, 2026: 
A registrant may transfer their registration to another prospective attendee, given they are the same tier (member, non-member, student, etc.). The original registrant is responsible for all arrangements and communicating said arrangements to KYATA. KYATA will not assist with finding a transfer attendee or payment arrangement.  
Transfers must be communicated to KYATA at [email protected] no later than Thursday May 21, 2026.

AFTER MAY 21, 2026: 
No registration changes will be accepted after Thursday, May 21, 2026.
An attendee will forfeit their fee if not attending the event.


No same day registrations will be allowed.

Should an emergency outside of the registrant’s control arise that prevents a registrant from attending the conference or finding a transfer registrant, the registrant may reach out to [email protected] with details & proof of their needs to discuss options. 

It is recommended that attendees make travel reservations that are 100% refundable. KYATA reserves the right to cancel this event in the event of unforeseen circumstances or emergencies. If such occurs, KYATA will notify registrants as soon as possible and all registration fees will be refunded. In all instances, the liability of KYATA is limited to refunding such fees, and KYATA is not responsible for any additional lost funds, deposits, or cancellation fees for travel expenses.
 

Registration Deadline & Waitlist
Registration is due by Thursday May 14, 2026.
After May 14, a potential attendee may “purchase” a Waitlist option via the KYATA Website. Registrant will not be charged at this time but will be placed on waitlist. Attendance is not guaranteed. Should a waitlist slot become available prior to the Symposium date, KYATA will contact potential registrant and will process payment. Payment can also be made to KYATA Treasurer on site via card, tap-to-pay, or check when arriving at the event. 


ADA Accommodations
A registrant is given the opportunity to request accommodations at time of registration via registration form. All event sites are vetted for ADA accessibility prior to booking. If a registrant has an accommodation need that is not communicated during the registration process or arises after registration, a registrant should contact [email protected] to relay specific needs. A KYATA Executive Board Member will review request & then update registrant of accommodation abilities via email. 


Attendance & CE Credit Requirements
In order to be counted as fully present and eligible to receive a CE certificate, a participant must, for each presentation, (1) attend the full presentation, (2) complete sign in & sign out forms, and (3) complete evaluation for each presenter. If these criteria are not met, an attendee will not receive CE credit for the event or certificate of attendance, and will forfeit all fees. 


For Symposium Day 2, if attendee attends and fulfills requirements for some presentations but not all four (4) presentations, CE credit & certificate will be given for the portions attended & completed. If attendee must leave early or arrive late to Day 2 presentations, it is their responsibility to connect with a present KYATA Executive Board Member in person that day to discuss details & ensure adherence to policy.

No partial credit will be available for Symposium Day 1. 


Confidentiality of Participant Information
KYATA protects all registrant information & does not transfer any registrant information including but not limited to name, contact information (phone, email), licensure status, and financial information. Registration information (excluding financial information, which is not stored at any time) is password protected in a secure drive. Photos of participants will only be utilized for newsletters, digital sharing, etc. with the express written consent of registrants.
Should a breach of confidentiality occur, KYATA will make all appropriate reports in accordance with ethical guidelines, and will alert the affected individual(s) as soon as possible.


Program Complaints
If a registrant or potential registrant would like to express a concern about KYATA or a continuing education program or provider, the individual may email concerns to the KYATA Executive Board at [email protected]. Although we do not guarantee a particular outcome, KYATA will consider the complaint, make any necessary decisions, and respond within one week. A registrant is also welcome to discuss with an KYATA Executive Board Member in person at the event.


Record Keeping & Retention
In accordance with NBCC Policy Guidelines, KYATA will retain the following information for a minimum of 5 years:
(a). A roster identifying all program participants; (b). A list of all live event program presenters, including the qualifications of each presenter, and an accurate description of the content presented by that presenter; (c). A list of all authors and presenters of home study programs, and an accurate description of the content presented by each author and presenter; (d). The program content description; (e). The attendee/participant evaluations; (f). The program promotional and marketing materials; and, (g). The program agenda and materials distributed to participants, including the learning objectives.


Disclosure or Use of Client Information
All presenters will have obtained proper informed consent signed by any client, client representative, or client guardian should any documentation, artwork, or information be used during a program presentation. A presenter may use a composite of real-life case examples for the purpose of role play facilitation, providing examples, and fostering discussion while maintaining confidentiality. Presenters will make all efforts to maintain the highest level of client confidentiality in accordance with ethical guides & HIPAA laws when including client artwork in presentations. KYATA will require & maintain records of any informed consent documents.
